Office Security Checklist

 

  1. Do you have electronic access control? If so, where? 
  2. Do you have an employee entrance and a policy regarding its use? If so, do you enforce this policy?
  3. Are other doors restricted to use as emergency exits? If so, do you enforce this policy?
  4. Do you have closed-circuit television (CCTV)? If so, where? 
  5. Do all locked office doors have security locks?
  6. Do you restrict keys to those who actually need them? 
  7. Do you keep complete, up-to-date records of all keys issued? 
  8. Do you have a procedure for collecting keys when employees are terminated? 
  9. Do you control duplication of keys? 
  10. Do you mark all keys "Do Not Duplicate"? 
  11. Do you require all file cabinets to have locks? 
  12. Do you require all file cabinets to be locked at night? 
  13. Do you have a person in charge of key control? 
  14. Do you secure all office equipment with anti-theft devices? 
  15. Do you have and enforce an inventory control policy for all office equipment? 
  16. Do you record all serial and model numbers? 
  17. Do you require all desks to be cleared of important papers each night? 
  18. Are all important papers shredded before they are placed in waste containers? 
  19. Do you have a supervisor inspect all trash before it is removed from the building to deter internal theft? 
  20. Do you control unauthorized use of phones by programming them for limited usage? 
  21. Do you require your employees to wear badges or carry photo identification cards? 
  22. Do you provide lockable desk drawers for secure storage of employees’ personal items? 
  23. Do you have a policy about employees bringing personal property to their work stations? If so, are they advised that the employer is not liable if the property is stolen? 
  24. Do you have a policy regarding inspection of employees’ packages? 
  25. Do you have a policy regarding employees using office equipment for personal projects? If yes, do you enforce this policy? 
  26. Can employees take home equipment such as computers from the office? 
  27. Do you require employees who work late to notify someone? 
  28. Do you have an emergency procedures manual? Does it tell what to do in case of fire? Natural disasters? Bomb threats? 
  29. Is the building inspected each night for safety and security? 
  30. Do security or night personnel keep a log of their own activities? Of the comings and goings of other (non-security) personnel? 
  31. Do you have a policy limiting entrance to the building after normal business hours and on weekends? If so, must employees log in and out? 
  32. Do you have a policy for inspecting visitors’ packages? 
  33. Do visitors have to register when entering the building? 
  34. Are visitors escorted within the building? 
  35. Are restricted areas (those not open to the public) properly identified with "Employees Only" signs? 
  36. Are all ground-level windows that open secured with security locks? 
  37. Are the parking lot entrances to the building properly illuminated for safety? 
  38. Has there been a lighting audit conducted by the local utility company or a lighting engineer? 
  39. Is the building protected by a burglar alarm system? Is the system tested once a month? 
  40. Is there a fire alarm system for the building? Is the system tested once a month and checked out completely once a year? 
  41. Do you have a system that allows employees to report security problems or theft? 
  42. Are employees aware of all security policies? 
  43. Do you conduct security awareness training for employees? 
  44. Do you have an annual security audit of the building?
 
In conducting a security survey, remember: Every door and window must be checked. Every alarm point (fire and intrusion) must be checked. Internal procedures and controls must be checked. Based on the results obtained using the survey shown here or any other comparable questionnaire that addresses security issues and particulars at your managed property, security recommendations can be designed to reduce overall risk and hazards.
